Previously used order and invoicing processing solutions were paper-based, which was a time-consuming process that was prone to errors. FMTG was therefore looking for an opportunity of automating such processes, especially for invoicing, in an effort of ensuring efficient merchandise provision while maintaining top-notch quality.

EDI for Falkensteiner: All suppliers via one interface
All it takes is a single connection to eXite for FMTG to reach all its suppliers. 120-130 are already connected and exchanging article master data (PRICAT), despatch advices (DESADV) and invoices (INVOIC). The system also works internationally: all purchasing activities for about 33 hotels in seven countries are centrally managed via eXite, coordinating suppliers from different countries and sectors. By relying on electronic procurement of goods processes, the hotel group also benefits from updated and correct inventory information, which makes stock-taking easier than ever.

Also, data is automatically processed via the inhouse ERP system, implemented by the software provider Delegate-Group, thereby reducing the need for manual work and dramatically increasing data quality.
The electronic invoice increases significantly the quality of the entire invoicing process, saves time for invoice verification and reduces supplier complaints. FMTG is now in a position to manage its procurement of goods in a cost-efficient and effective manner. With the introduction of the archive, the final process step towards end-to-end EDI communication was successfully completed at Falkensteiner in 2018. Not only invoices in EDIFACT format, but also all other invoices from the merchandise management system are automatically exported to this archive in the form of a PDF.
