Background: using EDI since 1997

Orbico Slovenia has been using Electronic Data Interchange (EDI) since 1997, at the initiative of Procter & Gamble. From 2000 onwards, EDI services were provided by ATNET, then the leading EDI provider in Slovenia, which was later acquired by Panteon Group. This early introduction marked the beginning of a transformative journey towards streamlining operations and increasing business efficiency.

Challenges before implementing EDI

Before the introduction of EDI, Orbico Slovenia faced significant challenges:

  • Manual workflows: extensive manual processing of orders in different formats slowed down business.
  • High rate of errors: nedosledno upravljanje naročil je vodilo do pogostih napak in neučinkovitosti.
  • Operational delays: time-consuming processes were limiting productivity and customer satisfaction.

Why EDI and EDITEL/PANTEON GROUP?

The need for standardised and efficient data exchange became evident when Orbico Slovenia's customers, in particular Procter & Gamble, started to request EDI collaboration.

EDITEL/PANTEON GROUP was chosen for its expertise and ability to provide a reliable, tailored solution that met Orbico Slovenia's specific requirements.

Concerns about the introduction of EDI

There were no major concerns or major challenges expected before the introduction of EDI”.

Jernej Mrkelj, IT support specialist, and Jure Dolanec, IT Business Solutions Coordinator, added that the only aspect that had caused some debate and was considered somewhat controversial was the need to offer an additional discount to customers as an incentive to switch to the new system.

Integration and process improvements

EDI was seamlessly integrated into the company's existing ERP and other systems with newly developed interfaces.

The integration brought several important benefits:

  • Reliability: the reliability of document exchange has increased to almost 100%, ensuring smooth communication.
  • Efficiency: sales processes have been greatly accelerated due to fewer manual interventions.
  • Scalability: the system allowed easy scaling, accommodating company growth and managing increased volumes of documents without compromising efficiency.

Impact on the competitiveness of the company

EDI has significantly strengthened Orbico Slovenia's competitive position with the following advantages:

  • Improving customer relations: faster and more reliable processes have improved customer satisfaction.
  • Meeting market demands: as more and more large customers demanded EDI, Orbico was well prepared to provide it.
  • Sustainability: the move to a smaller paper archive was in line with environmentally friendly practices.

Achievements through EDI

  • Long-term partnerships: ongoing cooperation with Procter & Gamble since the early 1990s.
  • Operational improvements: reduced errors, optimised workflows and minimal dependence on paper documentation.

The benefits of EDI have not only been seen at Orbico Slovenia, but also by their partners.

Business partners' response to the introduction of EDI

"The company's partners have taken the decision to work together via EDI very readily. Overall, the introduction of EDI has taken Slovenia to a much higher level," explains Jure Dolanc, IT Business Solutions Coordinator at Orbico Slovenia.

Vision for the future

Orbico wants to expand its EDI capabilities, focusing on:

  • Dropshipping and market orders: adapting to evolving business models.
  • Introducing new customers: extending EDI integration to additional partners.
  • Document development: innovating new document types related to finance and products.

Cooperation with EDITEL/PANTEON GROUP

Cooperation with EDITEL/PANTEON GROUP is marked by:

  • Exceptional support: fast problem resolution and reliable guidance.
  • High-quality service: exceptional reliability in document exchange and responsiveness.
  • Industry leadership: raising the standards for EDI adoption in Slovenia and beyond.

Next steps and improvements or wishes for the future

Orbico Slovenia plans to digitise the remaining paper-based processes, focusing on the integration of mobile solutions, the introduction of new messaging (which helps optimise goods, financial documents, the dropshipping model and the online marketplace) and systems such as the advanced Document Management System (DMS) to achieve full digitisation.

Message for users who do not use EDI

"For companies still relying on traditional processes, the advice is clear: don't wait, start today!" said Jernej and Jure in one voice.
